Confirming Orders on WhatsApp: The Right Way, Step by Step
Confirmation agents spend most of their day calling people who don't pick up. When a WhatsApp message goes out before the call, some customers confirm on their own with a button, and the agent picks up an order whose status they already know instead of starting from scratch.
Why WhatsApp before the call?
- A customer may not answer an unknown number, but they will open a WhatsApp message with the store's name and the product.
- The reply is written down and on record, so there's no "I never said that" at delivery.
- The customer sees the final price and the address with their own eyes, so the orders that get confirmed are clearer.
- Agents are freed up for the orders that really need a conversation: customers who didn't reply, want to change something, or have a question.
Official WhatsApp Business or a regular number?
Sending automated messages in bulk from a regular WhatsApp number or through unofficial tools puts the number at risk of being banned. The safe way is Meta's WhatsApp Business Platform (Cloud API): a number verified under your brand name, messages sent from approved templates, and quick-reply buttons.
What a good confirmation message looks like
A good message is short, contains everything the customer needs to decide, and ends with buttons:
[ Confirm order ] [ I want to change it ] [ Cancel ]
- The total price including shipping: the biggest reason for refusals at delivery is a surprise in the price.
- The area, so the customer notices if the address is wrong.
- Exactly three buttons: confirm, change, cancel. Any more gets confusing.
What happens after each button
| Customer's reply | What should happen |
|---|---|
| Confirm order | The reply is recorded on the order, and the agent sees that the customer has confirmed. They check the details and confirm quickly. |
| I want to change it | It goes to an agent who calls the customer or carries on with them in the same chat. |
| Cancel | The reason is recorded if the customer gives one, and the order doesn't ship. |
| No reply | After a set time, it joins the regular call queue. |
When should you send the message?
As soon as the order comes in. The customer still remembers what they ordered and why, and they're far more likely to reply than they will be tomorrow. Every hour of delay lowers the chance of a reply.
Working out the cost
Meta charges for messages by template type and country. When you use a platform that connects your number directly to your official account, you only pay Meta for the messages, with no middleman taking a cut on every message. Compare that with the cost of agents' time on calls nobody answers, and with the cost of a single returned order.
Common mistakes
- A long message full of offers and promotions. Keep it about the order only.
- Sending from a personal number or an unofficial tool. The number gets banned at the worst possible moment.
- Ignoring "I want to change it" replies. These are customers who really do want to buy.
- Relying on WhatsApp alone. Customers who don't reply still need a call.
WhatsApp confirmation in WeSell
WeSell works with ConfirmX, an official WhatsApp Business platform that connects your number with a Sign in with Meta button. ConfirmX receives each new order from WeSell and sends the confirmation message, and the customer's reply is recorded back on the same order in WeSell, so the confirmation agent sees it while working through the confirmation queue.
